Compose voice, SMS, and email messages

Write each channel of a notification. Voice as text-to-speech or an audio recording, SMS, email, and understand the limits on each.

Compose voice, SMS, and email messages

A notification can go out by voice, SMS, or email, or any combination of the three. Each channel has its own tab on the notification form, and this article covers how to write each one and the limits that apply. The same steps apply when you build a template.

Before you start

A channel only has a tab if it is turned on. If the Voice, SMS, or Email tab is missing, switch it on under Message Settings in Advanced Settings. The same screen controls whether voice content is reused for SMS and email or written separately, so check it before you start composing.

Voice as text-to-speech

Text-to-speech reads your typed message aloud to the contact.

  1. Open the Voice tab.

  2. Select the Text-to-Speech icon if it is not already selected.

  3. Type your message in the Message field. There is a recommended maximum of 300 characters — stay under it so the call stays short and clear.

Voice as an audio recording

Instead of a typed message read by the system, you can play contacts a recording of your own voice. Choose either Upload from File or Record Audio.

  1. Open the Voice tab and select the Audio Recording icon.

  2. Choose your path: Upload from File or Record Audio.

To upload a file:

  1. Click Upload from File and pick an audio file. The system converts it to a compatible format on upload. This can reduce the original audio quality slightly, but the conversion is required for compatibility.

To record on the spot:

  1. Click Record Audio. Your browser will ask for microphone permission; granting it may require a browser refresh.

  2. Click Start Recording and speak. You can record up to 1 minute of audio.

  3. Click Stop Recording to end the recording and send the file for processing.

For either path:

  1. Once processing finishes, use the player to preview the audio. The audio stops if you interact with anything else on the screen.

  2. To keep a copy, open the menu on the audio player and download the file. Notify does not save the recording on its own, so download it if you cannot finish and send the notification now.

  3. To start over, click Delete Audio Recording. The system confirms before clearing it and returns you to the Upload / Record choice.

Voice calls and invites from Notify come from one of four H2Safety phone numbers. Tell your contacts to save those numbers as "H2Safety" so callouts are not mistaken for spam. Your H2Safety representative can provide the current numbers.

SMS

  1. Open the SMS tab.

  2. Type your message in the Message field. This is the text contacts receive.

Email

  1. Open the Email tab.

  2. Fill in the Subject and Message fields.

  3. To attach a file, use the Attachment section in Advanced Settings. One file up to 10 MB is allowed.

Reusing one message across channels

If you want SMS and email to carry the same words as your voice message, you do not have to retype them. Set Reuse Voice for SMS and Email under Message Settings and the voice text fills the other channels automatically. To write each channel differently, choose Provide Separate Message instead.
