Add users to a VEOC session at initiation or any time after, choose how they are notified, set user or Observer access, and send the invite.

Invite and add users to a session

You add users to a Virtual Emergency Operations Centre (VEOC) session in two places: the prompt that opens right after you initiate, and the Add User icon in the left-hand menu of an active session. The form is the same in both, so learn it once.

Invites go out instantly by email, text, and phone call, and every invitee gets a link straight into the session.

Before you start

Contact lists are built in Contact Manager by your company administrator or H2Safety. If yours is missing or stale, fix it there first: Create a contact list.

Steps

  1. Open the add-users form. At initiation it appears automatically after you click Initiate. Mid-session, click the Add User icon in the left-hand menu.

  2. Choose who to add:

    • Manually, one person at a time

    • From a pre-determined Contact List

    • From Show All, the general list of your company's users

  3. Select the Message Type for the invite: SMS, voice call, or both.

  4. Decide whether each invitee joins as a User or an Observer. Observers are view-only: no sending notifications, no access to system features.

  5. Add the Call Message: the short, high-level message invitees receive by SMS, phone, and email. It should state the session type and one factual line they need to know. Your administrator usually pre-sets this (see Understand callout), or you can write a custom one. The same message posts to the Forum.

  6. Click Invite. Emails, texts, and calls go out to everyone immediately, with the link to join.

On mobile: the flow is identical. After selecting users and a message type, pick a Message Template, then tap Invite.

What invitees see

Each invite carries a session link. Credentialed users sign in or pass straight through; non-credentialed users verify with a one-time code. The full path is in Join a session. Tell your contacts to save the H2Safety caller IDs so the callout is not mistaken for spam.

If someone missed the invite

Resend the invite or the automated call from the User List. See Manage users in an active session.
