Set default session documents

Administrators set the default documents that attach automatically to every new VEOC session, so critical files reach all users at initiation.

Set default session documents

Default session documents go out automatically at the start of every new Virtual Emergency Operations Centre (VEOC) session. Set them once in the Administration settings and every Initiator's session carries them from the first minute: response plans, contact sheets, safety documents, whatever every responder should have without anyone remembering to attach it.

Before you start

You need Administrator access. See Understand roles and permissions.

Steps

  1. Open the Administration settings from the VEOC menu.

  2. Review what is there. The screen shows:

    • Preset default files set by H2Safety

    • The option to add new files from your device

    • The existing documents currently being attached

  3. Add or remove documents as needed. Once a document is listed here, it automatically goes out to users at the beginning of each new session.

That is the whole job. The next session initiated picks up the current list; Initiators can still attach session-specific files on top of the defaults.

Keep the set lean

Every default document lands on every user in every session. Load it with stale files and responders stop opening any of them. Review the list on a schedule, not just after an incident exposes a gap.

Related default settings

The Settings icon next door controls the default phone call and text messages that go out with session notifications. Update and save there, and the new defaults carry into all newly initiated sessions. Callout message defaults are usually configured with H2Safety during setup; see Understand callout.
